1. Introduction
Relay is a business tool for local cable TV operators to manage their customers,
billing and daily collections. It is operated by OpenDott
(“we”, “us”). This policy explains what information the Relay Android app and
website (relaycable.in) collect, why we collect
it, where it is stored, who can see it, and the choices you have.
Relay is used by cable operators and their staff to run their
business. Operators enter their own customers’ details into Relay to keep billing
records. If you are a cable subscriber whose details appear in Relay, your cable
operator is responsible for that data — please contact them directly.
2. Who is responsible for the data
Each cable operator is the controller of the customer information
they enter, and we act as the processor that stores and displays it
on their behalf. As the Terms & Conditions require, an operator must have the
right to store and use the personal data they enter.
3. Information we collect
- Account information (operators & staff): name, email
address, mobile number and a securely hashed password — we never store passwords
in plain text. Operators also provide business details such as their business
name, address and contact numbers.
- Customer records entered by the operator: customer name, mobile
number, area and street, set-top-box and smart-card numbers, provider references,
plan and package, billing and payment history, collection-round outcomes,
complaints, and any notes you add.
- Customer location pins (optional): the latitude and longitude of
a customer’s premises, only when you choose to save one. See “Location” below.
- Files you choose to upload: payment screenshots and UTR
references for your Relay subscription, provider payment files for Pay File, and
customer or set-top-box spreadsheets you import. The app only opens images you
pick — it does not scan your gallery.
- Activity and security records: an audit log of the changes made
in your account (who made each change, when, and what changed), and sign-in
attempts with the IP address they came from.
4. Location
Relay can store an optional location pin (latitude and longitude)
against a customer, so that collectors can find the right door. A pin is created in
one of two ways, both entirely under your control:
- Device location: when you tap “Use my current location” on the
customer form, your phone or browser reads its current position and Relay saves it
as that customer’s pin. Your device asks for your permission the first time; you
can refuse or revoke it at any time in your device settings, and the rest of Relay
keeps working without it.
- A Google Maps link you paste: Relay reads the coordinates from
the link. A short share link does not contain them, so our server follows that
link to Google to find them — only the link you pasted is sent.
We read your device’s location only at the moment you tap that
button, while the customer form is open in front of you. Relay does
not track you, does not collect location in the
background, and does not collect location when the app is closed —
it does not request the permission that would allow any of that. A pin is stored on
that customer’s record inside your own account, like their phone number, and you can
remove it at any time from the customer form.
The “Directions” button simply opens Google Maps with that customer as the
destination; from that point Google Maps’ own terms and privacy policy apply to what
it does with your location.
5. Information stored on your device
To keep working without a network, the Android app keeps on your phone: your sign-in
token (in the phone’s encrypted storage where available), a copy of your customer
list and round follow-ups, and any collections or round outcomes you record offline.
Offline records sync to the server automatically when you are back online. All of
this stays in the app’s private storage and is removed when you uninstall the app or
clear its data.
On the website, your browser keeps your sign-in token and display preferences such
as theme and language.
6. How we use information
- To provide the service — signing you in, showing your customers, recording
payments, generating bills and receipts, and producing reports for your own
business.
- To send the messages you choose to send, such as a payment receipt or a due
reminder — see “Messaging (WhatsApp / SMS)” below.
- To process your Relay subscription payments and to support you when something
goes wrong.
- To keep the service secure, prevent misuse, and investigate or reverse mistaken
changes using the audit log.
7. Messaging (WhatsApp / SMS)
Relay never messages your customers on its own: a receipt or reminder goes out only
when you or your staff choose to send it.
- WhatsApp: Relay opens your own WhatsApp with the
customer’s number and the message filled in, for you to send.
- SMS from your phone: if no SMS gateway is set up for your
account, Relay opens your phone’s messaging app with the message filled in, for you
to send.
- SMS through a gateway: the administrator can set up an
SMS gateway for your account, using your bulk-SMS provider. When
one is set up, Relay can send receipts and reminders through it: for each such SMS,
our server sends that provider the customer’s mobile number and the message
text (which can include the customer’s name, the amount due or paid, and
your business name), plus your SMS sender number if you have set one. The provider
handles them under its own terms.
8. Who can see your data
Your data is visible only to:
- you, the operator;
- employees you create, limited to the permissions and areas you grant them;
- the platform administrators at OpenDott, for account approval, support and
audit. A senior administrator can open your account in a read-only “Access”
session; making any change in it requires them to re-enter their own password, and
each change is recorded in the audit log with the administrator’s name. Senior
administrators can also export your account’s data as a backup;
- the service providers listed under “Data sharing”, only as far as needed to run
the service.
Every operator’s data is scoped to its own account on the server, so it is
never shared with or visible to other operators.
9. Data sharing
We share information only with the providers needed to run the service:
- Hostinger, which hosts our servers and database;
- the bulk-SMS provider of an SMS gateway set up for your account,
for the SMS sent through it (see “Messaging (WhatsApp / SMS)”);
- Google, when you paste a Google Maps short link (our server sends
Google only that link), and on the website, which loads its typeface from Google
Fonts, so your browser connects to Google’s servers.
We do not give your data to anyone for their own marketing. We may disclose
information if required by law.
10. What we do NOT do
- We do not use any advertising, analytics or tracking SDKs, and
there are no ads in Relay.
- We do not sell or rent your data, or that of your customers.
- We do not collect location in the background.
- We do not message your customers on our own.
11. How information is stored and protected
Data is stored in a private database on servers hosted with
Hostinger. All traffic between the app or website and the server is
encrypted over HTTPS. Access needs a sign-in token that is sent only in the request
header, and the server limits every request to your own account’s data. Uploaded
files, such as payment screenshots, are not publicly reachable and are served only to
signed-in, authorised users. Repeated failed sign-in attempts are blocked for a
while.
12. Data retention
Your business and customer records are kept for as long as your account is active,
so that your billing history stays available to you.
- Removing a customer marks them Disconnected: the record and its
billing history are kept, so your reports can still show who left and when.
- Bills and payments you delete are removed, but a copy of what was deleted is kept
in the audit log.
- Audit-log entries are kept after the records they describe are changed or
deleted.
- Provider files uploaded to Pay File are kept only for the export; files older than
a day are removed the next time you upload one.
- Sign-in attempt records are cleared after about a day.
- Nightly database backups are kept for about a week.
If you close your account, contact us to have your data deleted. We act on such
requests, except where a short retention period is needed for backups or legal
reasons.
13. Your choices and rights
- Location: you can decline the location permission — the rest of
the app works normally; only “Use my current location” will be unavailable.
- Access and correction: you can view and correct your customer
records in the app, and update your contact and messaging details in Settings. Your
business name and address, and the mobile number and email you sign in with, can
be changed only by the administrator — ask through support.
- Export and deletion: you can request an export of your data while
your account is active, and ask for your account and data to be deleted at any time
— see relaycable.in/delete-account.html.
- Your customers: customers should send requests about their data
to you, their cable operator, since you control those records; we will help you act
on them.
- Withdraw consent: you can stop using Relay at any time.
14. Children
Relay is a business tool and is not directed to children under 13. We do not
knowingly collect data from children.
15. Changes to this policy
We may update this policy. The version and effective date at the top always identify
the current policy. When it changes materially, the app asks operators to review and
acknowledge the new version.
